Every formal letter in India shares one skeleton — a letterhead, a date, an addressee block, a subject line, a salutation, a body, a close and a signature — and almost nobody has trouble with the skeleton. The trouble is what goes in it, and that differs completely from one letter to the next. A leave application is judged on whether its dates and handover are exact. An offer letter is judged on whether the pay, the joining date and the conditions can be held against the company later. An experience certificate is judged on whether a stranger in another company can rely on its dates. Writing “a formal letter” well means knowing which of those tests your reader will apply.

Three things that are true of every formal letter, whichever one you need

  • One page, and dated

    A formal letter is filed and referred back to, and an undated letter cannot be. Date it at the top under the letterhead — or beside the signature on a declaration — and keep it to one page unless the document is a contract in letter form. Nobody reads the second page of a leave application.

  • A subject line the reader files it by

    The subject line is the one line an HR desk or a school office reads before deciding what to do with the letter. Say what the letter is and the key fact in it — the dates, the position, the person’s name — in one line. “Subject: Application” tells the reader nothing.

  • A PDF with real text, not a photograph of a page

    A letter that will be emailed, uploaded to a portal or forwarded to a consulate needs to be a PDF whose text can be selected and searched, on a letterhead that prints cleanly. A photo of a printed page is unreadable after two forwards and cannot be found again by searching for a name.
