A gap certificate is rarely a certificate that anyone issues to you. In most cases it is your own signed statement that you were out of education, or between education and a job, for a stated period, and what you were doing in that time. Colleges, education-loan desks and some employers ask for it so the break is on record in your words before they rely on your other papers.
It comes in two forms: a self-declaration you sign on plain paper, or an affidavit on stamp paper that a notary attests. The self-declaration format guide explains the general difference; this page covers the gap case.
Who asks for one
Colleges and universities ask at admission or document verification, usually when a year or more has passed since your last exam, and many publish their own format. IIIT Ranchi's joining annexures for JoSAA/CSAB 2026 include an "Affidavit for gap period", and Welingkar Institute in Mumbai publishes a gap certificate format for its 2025-26 MMS intake.
Education loans bring the same question from the bank. SBI Scholar Loan checklists published by IIT Mandi and IIIT Delhi list a "gap certificate (self-declaration from student for gap in studies)". NITK Surathkal's list asks a student with a gap to give the reason and produce documentary evidence.
Some employers ask too. BHEL Haridwar's joining instructions for apprentices make a gap affidavit compulsory for every candidate, covering the time between the degree or diploma and the apprenticeship. Private employers and background-verification agencies tend to ask when the dates on your résumé and certificates don't join up.
Check who the notice expects to issue it. If it names an officer, such as a Tahsildar, it wants that office's certificate, and a declaration you write yourself will not stand in for it.
What it has to state
Whichever form you use, the content is the same. In order:
- Who you are: full name as it appears on your marksheets, a parent's name, your age and your address.
- Your last qualification: the exam, the board or university, the institution, and the month and year you passed.
- The gap, from a month and year to a month and year. End it at the month the new course or job begins, unless the format says "till date".
- What you did in that period, in one clause.
- Whether you were enrolled anywhere or employed. "I did not join any educational institution" is in almost every template, and it has to be true for you.
- The purpose: the course and institution, or the employer, you are giving it to.
- A conduct line, if the format has one. IIIT Ranchi's has the candidate state that they were not involved in any offence during the gap and that no criminal case is pending.
- What happens if any of it is false: cancellation of admission for a college, withdrawal of the offer for an employer.
- Place, date and signature at the foot.
Check every date against the document that proves it. A gap that starts in "June 2023" when your marksheet shows a result declared in May 2023 is the kind of mismatch a verification desk stops on.
Plain paper or stamp paper
Do what the notice says. If it prints a format on stamp paper, buy the stamp paper. If it asks for a self-declaration, plain paper is correct.
When the notice says nothing, the government's own position helps. The Department of Administrative Reforms and Public Grievances has asked central ministries and departments to review their demands for affidavits and attested copies; the Ministry of External Affairs refers to that direction in its August 2014 passport circular. Some states issued their own orders. Puducherry's 2015 order says government departments and institutions should not ask for affidavits from people seeking admission to educational institutions, or employment, unless a law requires one, and should accept a self-declaration in its place.
Orders like these bind government bodies. Private colleges, banks and employers set their own rules, and plenty of government desks still hand out stamp-paper formats. Write the plain-paper version first and ask the office whether it will do before you buy stamp paper. If they want an affidavit, the same statements go onto stamp paper with an affirmation and a verification line added. The notary attests your signature and does not check whether your reason is true.
The stamp paper value depends on the state
Stamp duty on an affidavit is set by each state's stamp law, and it changes. The formats above show the spread: BHEL Haridwar asks for ₹10 stamp paper, and the Welingkar format in Mumbai says ₹100. Maharashtra's duty on an affidavit stood at ₹500 in March 2025, when the state waived it for affidavits filed with caste, income and nationality certificate applications.
A printed format may name a different value from the one the stamp vendor quotes, so ask the vendor or the notary what applies today.
Writing the reason honestly
The reason is one clause in the declaration with a document behind it. Write only what you can prove, since the declaration will be read alongside the papers you attach.
Illness
"I was under medical treatment from [month, year] to [month, year] and was advised rest by my doctor." The diagnosis can stay in the doctor's certificate, because the declaration only needs the dates. Attach a certificate that covers the same period.
Competitive-exam preparation
"I was preparing for the NEET (UG) examination and appeared in the 2024 and 2025 examinations." Attach the admit cards or scorecards, and a coaching fee receipt or ID card if you had one. Include an attempt that went badly too, since the scorecards are what show the year was spent on the exam.
Family reasons
"I was required at home to care for my father during his illness." Keep it to a clause. A loan officer may ask for something on paper, so keep a supporting document ready if one exists.
Work
Name the employer, your designation and the dates, and attach the appointment, experience or relieving letter. The Welingkar format has a separate line for exactly this. If you worked, say so. An employment check can turn up a job the declaration left out, and "I was not employed" is then a false statement with your signature under it.
A failed attempt or a course you left
If you did not clear an exam and passed it at a later sitting, state both: "I did not clear Mathematics in the March 2024 examination and passed it in the supplementary examination of July 2024." Attach both marksheets. If you joined a course and left it, the template line "I did not join any educational institution" is false for you. Replace it with what happened, for example "I was admitted to B.Sc. at [college] in August 2023 and discontinued in March 2024", and attach the transfer or migration certificate.
Documents to attach
- The marksheet and passing certificate for your last qualification
- Photo ID, usually Aadhaar
- The evidence for your reason, such as a medical certificate, admit cards and scorecards, or an experience letter
- A transfer or migration certificate if you were enrolled anywhere during the gap
Self-attest each photocopy and carry the originals to verification. If the same application also takes a fresher résumé or a fresher biodata, use the same month-and-year dates in it so the documents agree with each other.
Sample 1: a study gap, for college admission
A plain-paper self-declaration. Replace everything in square brackets.
Self-declaration regarding gap in studies
To: The Principal, [college name, city]
I, [full name], son/daughter of [parent's name], aged [age] years, residing at [full address with PIN code], do hereby solemnly declare as follows:
- I passed the Higher Secondary (Class 12) examination conducted by [board] from [school, city] in [month, year].
- From [month, year] to [month, year] I was preparing for the NEET (UG) examination, and I appeared in the [year] and [year] examinations.
- During this period I did not take admission in any school, college or other educational institution, and I was not employed.
- I was not involved in any offence during this period, and no criminal case is pending against me.
- I make this declaration in support of my application for admission to [course] at [college] for the academic year [year].
- I understand that if any statement above is found to be false, my admission may be cancelled.

[Full name]
Sample 2: a gap between a degree and a job
Self-declaration regarding gap after graduation
To: The Human Resources Department, [company name, city]
I, [full name], son/daughter of [parent's name], aged [age] years, residing at [full address with PIN code], do hereby solemnly declare as follows:
- I completed my [degree] from [college], affiliated to [university], and the final-year result was declared in [month, year].

- I did not hold any full-time or part-time employment during this period, and I was not enrolled in any course of study.
- In support of this declaration I enclose [a medical certificate from Dr [name] dated [date]].
- I understand that if any statement above is found to be false, my offer of appointment or my employment may be withdrawn.
Place: [city]
Date: [date]
[Signature]
[Full name]
Either sample becomes an affidavit with a few changes. Retitle it "Affidavit", print it on stamp paper of the value your state and the institution require, and change "solemnly declare" to "solemnly affirm and declare". Add a verification line at the end: "Verified at [place] on [date] that the contents of this affidavit are true and correct to the best of my knowledge and belief, and nothing has been concealed." Then sign it in front of the notary.
Making the plain-paper version in PaperKit
The letter maker has a self-declaration type that opens on a filled example. Put your details into the opening sentence, swap in the numbered statements from the sample that fits your case, set the subject to "Self-declaration regarding gap in studies", and change Place and Date at the foot. Download the PDF, print it on plain A4 and sign it in ink. It is free, with no account and no watermark.
This page is not legal advice. If a notice or an officer tells you something different, follow them.
Free, no account, and the fixes are listed in plain words rather than as a number.
Frequently asked
- Is a gap certificate required for a one-year gap?
- It depends on the institution. Many colleges and loan desks ask for one when a year or more has passed since your last exam, and some ask about any gap at all. Read the admission notice or the loan checklist, and if it says nothing, ask the office before you make one.
- Can a gap certificate be written on plain paper?
- Yes, where the institution accepts a self-declaration. SBI Scholar Loan checklists published by several institutes ask for a self-declaration from the student, while many colleges still print a stamp-paper affidavit format. Use plain paper unless the notice or the office asks for stamp paper.
- What value of stamp paper is needed for a gap affidavit?
- It depends on your state's stamp law, and the rate changes. Formats in circulation ask for anything from ₹10 to ₹100, and Maharashtra's duty on an affidavit stood at ₹500 in 2025. Ask the stamp vendor or the notary for the current value, and follow the institution's format if it names one.
- Who issues a gap certificate?
- Usually you do. It is your own statement, signed on plain paper or sworn as an affidavit before a notary, who attests your signature but does not check your reason. If a notice names an issuing officer instead, such as a Tahsildar, apply to that office, because a declaration you write will not stand in for it.
- What if I failed an exam or left a course during the gap?
- Say so and attach the proof: both marksheets for a paper you failed and later cleared, or the transfer or migration certificate for a course you left. The template line "I did not join any educational institution" would be false in your case, so replace it with what actually happened.
